International Women in Portugal (IWP) respects your privacy and is responsible for the personal information it uses to manage membership, organise activities, and operate its website.

Information we collect

We collect information you provide when you apply for membership, register for activities, update your profile, or contact us. This may include your name, contact details, membership and payment records, activity registrations, and any optional information you choose to share.

Required information is identified on the relevant form. Without it, we may be unable to process your membership or activity registration.

How we use your information

We use personal information to:

• Administer membership, subscriptions, and event registrations.

• Communicate about your membership and registered activities.

• Organise IWP activities and respond to enquiries.

• Provide the Member’s Directory according to your permissions.

• Maintain records required by law.

We process information necessary to provide your membership and booked activities, meet legal obligations, and pursue legitimate interests such as responding to enquiries and maintaining website security. Where we rely on consent, including optional directory inclusion, you can withdraw it.

The Member’s Directory and use by other members

In accordance with Article XXVIII of IWP’s Constitution, members must not use another member’s personal information, including contact details, telephone numbers, or addresses, without that member’s express consent.

Giving permission for your personal email address to appear in the Member’s Directory authorises other IWP members to use it for IWP purposes only. It does not authorise sharing it with third parties or using it for other purposes.

Members must not use directory information for unsolicited commercial messages, outside mailing lists, or unrelated activities.

You may contact IWP to change or withdraw your directory permissions.

Who can access your information

Access is limited to authorised people who need information for their IWP responsibilities, and to other members where you have permitted directory inclusion.

IWP uses WildApricot to operate its website and membership system. Service providers supporting these functions may process information on IWP’s behalf. Information may also be shared where legally required or where necessary to arrange an activity, with participants informed of the relevant arrangements.

We do not sell members’ personal information.

Keeping your information

We retain personal information for the time needed for the purpose for which it was collected, including any applicable accounting or legal requirements. Information no longer needed is deleted or anonymised.

Your rights

Depending on the circumstances, you may request access, correction, deletion, restriction, or transfer of your personal information, and object to certain uses.

Where processing relies on consent, you may withdraw it without affecting the lawfulness of earlier processing.

You may also complain to Portugal’s data protection authority, the Comissão Nacional de Proteção de Dados (CNPD).
